Most organizations can function with one main Team and a few carefully structured channels.
Think: less is more.
Fix: Start with a single Team that everyone belongs to, and create channels only for active, ongoing conversations. Keep it simple.
2️⃣ Files Are Scattered Everywhere
SharePoint. OneDrive. Teams “Files” tabs. File Explorer.
When files live in too many places, employees lose trust in the system and go back to email.
Fix: Choose ONE structure and migrate all your active files there. Teams already creates SharePoint sites in the background — take advantage of that and consolidate your storage.
3️⃣ Notifications Don’t Work
Teams notifications are powerful — but only if set up correctly.
Too many? People mute everything.
Too few? People miss critical updates.
Fix: Train your team to customize their notification settings AND use @mentions properly.
4️⃣ People Still Use Email
Email is comfortable — but incredibly inefficient.
If you don’t train people on how to work in Teams, they’ll stay in Outlook.
Fix: Ban internal email for things that should live in Teams. Create clear “rules of engagement” for when to use chat, channels, and email.
5️⃣ No Clear Onboarding or Training
Your people don’t know what they don’t know.
Even the business owner I spoke to admitted:
"We know so much more now that we forget how confusing this is for new people."
Fix: Document a simple onboarding guide for new hires and train existing staff on the new structure.
